Terms & Conditions


Our guarantee is simple: If Mad Science does not meet your expectations, we will do what it takes to make it right

--Refunds will not be provided for missed camps due to illness or other circumstances. 
--If your child does not enjoy the club after the first day, please notify us at least 3 days before the start of the next week and we will refund the remainder of the club.
--Refunds are not available after the second visit. 
--Refunds are subject to a £7 processing fee.

--Mad Science will offer a credit for the missed camp valid for 6 months if 3 days’ notice is given. 
--Amendments to a booking are allowed within the same operating season providing we have space and availability on requested dated and the request is received 2 working days before the date to be changed.
--We understand that sometimes children change their minds, and therefore are happy to transfer registered days to siblings or other children with 2 days' notice.   

--During most camp terms we offer an early bird discount for the first period after registration opens.  
--From time to time, we may have special offers and voucher codes for dates with a low number of children registered to avoid cancellation.  
--We are unable to apply discounts retroactively to existing bookings.    
--Multiple child discount - 10% of 2nd child, 5% off each child for 3 or more children, 20% off 5 or more children.
--Multi discounts apply to bookings that are made and paid for in the same transaction.    
--Please ring the Mad Science office to obtain the 5 or more children discount. 

--In order to run our clubs and camps, we required a minimum number of children.
--In the rare case that we do not make the required numbers, we will need to cancel the programme.  
--2 weeks prior to start date, we will inform parents of low numbers and the danger of cancellation. 
--At this time we are happy to provide a refund, a switch to another suitable camp programme with free wrap around care or to wait to see if the numbers increase.      
--We will cancel or any programme which has not met the minimum number of registration NO LATER THAN 1 WEEK prior to the scheduled event.  We will notify parents via email AND phone call.  
--In the case of cancellation by Mad Science, a full refund will be given   via the same method as the payment was received.

--Payment of the camp reserves  your child’s place in Mad Science camp.  Visa and Mastercard Debit and Credit Cards are accepted.  
--We are unable to store card details for future bookings.
--Registrations are taken on a first-come, first-served basis via our online registration system, BACS bank transfer or by telephone.
--Registration and payment are required to hold your child's space.
--Mad Science will send parents a reminder email the week prior to any programme start this will include any additional information parents need to know about the coming programme.   
--If you do not receive your reminder email, please contact our office to confirm your registration.
- -Once payment has been processed, a confirmation email will be send via the email address provided.  
--Please check your confirmation email including dates, location and child details.  
--If your invoice is not what you expected please tell us within 2 working days, we’ll change it if we can, or refund you if we can’t.   
--After 2 working days our normal cancellation and booking amendment terms will apply. 
--If you do not receive your confirmation after registering online, please contact our office to confirm your registration.  


--Clubs and Camps must meet minimum enrolment to run.
--Clubs have a minimum of 15 children to a maximum of 22 children with one instructor in the class and a designated support person available in the building in case of emergency 
--Camps have a minimum of 10 children and maximum of 25 per group.  If we have more than 25 registered for a camp day, they will be split by age groups into groups of 10-25.  
--We have a ratio of 10 children to one instructor with a minimum or 2 instructors regardless of numbers.  

--While we endeavour to make Mad Science camp as fun as possible, the safety and enjoyment of the group are paramount.  
--Due to the nature of the activities in camp, we require a level of behaviour that might be different than more active camps. 
--Mad Science reserves the right to exclude any child for any reason at its absolute discretion, including persistent late collection. 
--Repeated disruptive, disrespectful or dangerous behaviour will result in a parent warning and if it persists, the child will be excluded from the camp .
--We have a zero tolerance to violence and bullying and any child who is deemed to have been violent or bullying another child with have parent called to collect them. 
--No refund will be made for days missed due to exclusion.    

--We may take photographs and video footage at camp to use for training and promotional purposes. To exclude your child please let the Lead Instructor know upon arrival if you have not noted it when registering.   
--Where possible, we will post photos to our social media platforms for parents to view, but we do not use names or locations for safeguarding purposes.  
--In order to maintain appropriate standards of health and safety, parents are required to notify us of any medical or physical conditions which may limit participation in camp. In such cases we will always provide alternative activities where possible. 
--In the case of a child having special requirements, please confirm with our office that staff are able to provide any additional care/medication, etc.  If additional care is approved, we require the parent to have a brief consultation with the camp leader and leave any information on a document to be held by the first aider.  
--There will be at minimum one first aider on each of our camp locations who has additional Paediatric first aid training.  
--For the safety and enjoyment of all involved, we require that if your child needs a one on one helper in the school day they are provided one while they are at Mad Science. 
--At the time of booking full and accurate information about the child’s DOB, medical, physical or behavioural matters, or any other additional needs must be provided. Failure to do so may result in the child being excluded from certain activities or booking cancelled.

--Mad Science staff are provided with Child Safeguarding training and have a duty to follow the guidelines set out in our policy. Please contact our office for more information about our safeguarding policy
--Staff are required to respond if they suspect a child may be suffering from or makes a disclosure about abuse.  In this event our Lead Safeguarding Officer will contact the relevant local authority and act on their advice. 

--Mad Science does not accept liability for personal injury or accident of any person unless directly caused by the proven negligence of the company or its servants, in this event our liability insurance provides cover of up to £5 million. 
--Mad Science will not take responsibility for the loss or damage of any items of personal property brought onto the camp. 


--Please pick up your child promptly at the end of class.  Late parents will be charged a £10 late fee 15 minutes after the programme ends. 
--If a parent is repeatedly late, we will have to ask them to leave the programme. 
--We will only release your child to a parent or whomever else you have specifically designated at registration. 
--Your child will have a dismissal code which will be given at drop off each morning of camp.  This code must be provided at pick up.  
--If someone else will pick up your child, please inform the Mad Science office to let us know.  
--At camp, anyone picking up your child must provide the dismissal code.  
--If someone else will regularly pick-up your child, please let Mad Science know and we will add it to the register.
--Children will only be allowed to walk home with prior approval by parent.   
--Children who go to a separate wrap around care will be released to the care leader as soon as the programme is over.

--If you or your child are not entirely satisfied with the service we provide, then we want to be the first to know.
--If there’s a problem while your child is still registered in a camp or club, we can almost always resolve it. 
--If you have spoken to the programme leader and the problem persists after speaking with a club leader, please contact our main office at 01727824700 and the matter will be passed to a member of our senior management team. 

--Mad Science acts as a Data Controller for the purposes of the GDPR. To process your booking we need to collect personal details about you and all the children on your booking. 
--It is your responsibility to ensure that you have permission to pass on these details. 
--We will not share your details with anyone, ever.  
--We will hold your contact details on our encrypted server for contact related to Mad Science Programming only. (Full  details of how we may use your data are available in our Privacy Policy on our website)
--We ask for your consent to this when you register your details with us.
